The challenge
The existing process relied heavily on paper forms and informal practices developed over time. Workflows were slow, inconsistent and difficult to audit. Business rules were often applied manually, while key operational knowledge existed within individuals rather than structured systems.
This created processing delays, inconsistent outcomes and limited visibility across the process. Over time these issues introduced operational risk and made it increasingly difficult to maintain reliable, transparent decision-making.
The solution
Systemic conducted structured discovery workshops to understand and map the full current-state workflow before proposing change. Functional and non-functional requirements were documented alongside the business rules that governed decision-making.
From this foundation, future-state workflows and interaction models were designed to introduce clearer structure and accountability. High-level solution architecture was developed to guide implementation, and the same team continued into development, preserving context and reducing rework.
